About Stonyhurst Association

Stonyhurst College was originally founded in Saint-Omer, near Calais, in 1593 by Fr Robert Persons SJ under the patronage of Philip II of Spain. It is the oldest continually active Jesuit school in the world. We empower boys and girls to be the best that they can be, shaping leaders of the future who carry a sense of purpose and a desire to make the world a better place. The school is based in a Grade I listed building within a secluded 1,000-acre estate in Lancashire’s Ribble Valley.

Founded in 1879, the Stonyhurst Association exists to facilitate contact between Stonyhurst College and its past and present pupils (OS), their families and College staff. It has other charitable objectives including the support of OS working with people living with poverty, sickness or disability; to assist with the promotion of the education Stonyhurst offers; and to nurture and support the Jesuit / Ignatian character and values imparted to students so that it becomes a lifelong commitment. 

We are delighted to announce an opportunity for an Association Manager to join the department. The overall purpose of the Association Manager is to actively promote the Stonyhurst Association by building and sustaining strong relationships with members of the Association and the wider Stonyhurst community, to manage an agreed programme of activities in line with the core aims of the Association. 

The Stonyhurst Association’s members are Stonyhurst’s past pupils, their spouses and parents, past and current members of staff, and other friends – together forming the Stonyhurst family. The aim is to maintain this familial connection with Stonyhurst throughout their lives, fostering engagement and support through various means. 

For our members, the Association facilitates contact and assistance among the Stonyhurst family through a range of activities and services. These include arranging gatherings, reunions, sporting events, and College visits, as well as maintaining communication channels via the database, website, Stonyhurst Link, and newsletters. The Association aids in connecting former students for career advice and opportunities and offers support such as student grants and travel and medical elective grants during university years. 

The Association encourages members to deepen their spiritual journey and support for the Church. This is achieved through participation in events like the Easter Retreat, Lourdes pilgrimages, and more. The provision of resources such as the Association Prayer Book and access to an Association Chaplain fosters spiritual growth among members. 

The Association supports the present and future of Stonyhurst. It involves supporting the Stonyhurst Foundation to expand access to Stonyhurst education through bursaries, contributing financial assistance for prizes, scholarships, and College projects, and collaborating to advance the College's objectives. Additionally, promoting awareness of the College Collections helps preserve its heritage. 

Recognising the importance of outreach to the disadvantaged, the Association extends comfort and aid to those facing various challenges, including bereavement, poverty, sickness, and disability. 

The Stonyhurst Association is managed by its officers, committee, and Office Manager, with the office located at the College. 

The overall purpose of the Association Manager is to actively promote the Stonyhurst Association by building and sustaining strong relationships with members of the Association and the wider Stonyhurst community, to manage an agreed programme of activities in line with the core aims of the Association. 

Key tasks & Responsibilities

  • Manage the Association office including enquiries and in person visits; 
  • Actively promote the aims, activities and value of the Association to alumni/ae, current pupils and other members;
  • Organise, support and, when necessary / appropriate, attend a range of events relevant to the role including the annual dinner;
  • Devise and deliver strategies to trace, reconnect and engage lost alumni/ae; 
  • Deliver a comprehensive, targeted multi-platform communications strategy for members including the Newsletter, e-news, website and social media;
  • Develop and regularly update the Association website (including the In Memoriam section) working closely with College staff to ensure consistency with the College website;
  • Promote Stonyhurst Link as an effective means of engagement between OS and current pupils;
  • Develop and update the CRM system (Raiser’s Edge) ensuring records are consistent, up to date and conform to GDPR;
  • Monitor, analyse and report on communications’ strategies e.g. social media website performance;
  • Prepare the agenda and papers for Committee meetings; take and distribute minutes;
  • Manage the Association budget and prepare the Annual Report/accounts in collaboration with the Treasurer and the external accountants and auditor;
  • Foster good working relationships with colleagues in other departments including the Stonyhurst College community. Attend meetings with the College as required;
  • Work with the External Relations Team to manage UK and international events with members, e.g. reunions;
  • Manage the sale and stock control of Association merchandise;
  • Promote to Association members, especially recent leavers, the value of, and participation in, the Stonyhurst Pilgrimage to Lourdes;
  • Any other duties required to support the overall purpose of the role.

Key Information

This role attracts a salary of £33,000 - £35,000 per annum, dependent on experience.

The working hours are 37.5 hours per week. 60% of the week should be worked in the office. Flexibility to work occasional weekends and evenings is essential, for which TOIL will be given. There may also be flexibility around working hours during the school holidays.

Any offer made to a successful candidate will be conditional upon relevant pre-employment checks, including:

  • Two satisfactory references, one of which must be from your most recent employer; 
  • Proof of identity, address and right to work in the UK;
  • Verification of relevant qualifications;
  • Candidates who have worked or been resident overseas for three months or more within the last five years will be subject to criminal record checks from the relevant jurisdiction(s);
  • Verification of medical fitness for the role;
  • Confirmation that the applicant is not named on the Children’s Barred List, administered by the DBS;
  • Satisfactory completion of the probationary period;
  • A satisfactory enhanced disclosure from the DBS. The applicant will be required to complete the application form for an Enhanced DBS Check and start dates will be delayed if a result is not received; 
  • Candidates in managerial roles will be subject to a Prohibition from Management check.
