Business Administrator

Job Overview:

We are seeking a highly organised and detail-oriented Remote Business Administrator to join our administration team. The successful candidate will be responsible for providing administrative support, managing virtual office operations, and ensuring efficient and smooth day-to-day business activities. This role requires excellent communication skills, a proactive approach, and the ability to handle multiple tasks simultaneously in a remote working environment.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the management team, including scheduling virtual meetings, managing calendars, and handling correspondence.
  • Virtual Office Management: Oversee daily virtual office operations, including maintaining digital files, managing online tools and platforms, and ensuring a well-organised virtual work environment.
  • Record Keeping: Maintain accurate and up-to-date digital records, including filing electronic documents, managing databases, and ensuring compliance with company policies and regulations.
  • Communication: Serve as the primary point of contact for internal and external stakeholders, answering inquiries, and directing them to the appropriate personnel.
  • Project Coordination: Support the planning and execution of projects by coordinating resources, tracking progress, and providing regular updates to the management team.
  • HR Support: Assist with remote human resources tasks, including onboarding new employees, maintaining personnel records, and coordinating virtual training sessions.
  • Data Entry: Accurately input and manage data in various systems and databases.
  • Continuous Improvement: Identify opportunities for process improvements and implement best practices to enhance efficiency and effectiveness in a remote work setting.

Qualifications and Experience:

  • Education: A minimum of a high school diploma or equivalent; a bachelor's degree in business administration or a related field is preferred.
  • Experience in an administrative or office management role, preferably in a remote setting.
  • Communication Skills: Excellent verbal and written communication skills.
  • Organisational Skills: Strong organisational and time-management skills, with the ability to prioritise tasks and manage multiple responsibilities effectively in a remote environment.
  • IT Skills: Proficiency in Google software (Gmail, Docs, Spreadsheets, App Sheet, App Script), Dropbox, Canva
  • Attention to Detail: High level of accuracy and attention to detail in all tasks.
  • Problem-Solving Skills: Ability to identify and resolve issues efficiently and effectively.
  • Interpersonal Skills: Strong interpersonal skills, with the ability to work collaboratively with team members and interact professionally with clients and stakeholders.

Preferred Qualifications:

  • Experience in a similar role within the industry.
  • Knowledge of basic financial principles and accounting practices.
  • Familiarity with HR processes and practices.

Work Environment:

  • This role is performed remotely, requiring a reliable internet connection and a suitable home office setup.
  • Flexibility in working hours may be required to accommodate virtual meetings across different time zones.
